POSITION DESCRIPTION
The primary objective of this role is to be in charge of employee leave and attendance management. The role is to oversee all corners and any possibilities where necessary for improvement.
DUTY & RESPONSIBILITY
Leave and Attendance Management
- Manage leave and attendance for provincial branches.
- Oversee attendance records and take necessary action on lateness and absenteeism.
- Oversee the Facial Attendance System (ZK BioTime) to ensure the machine is working smoothly.
- Oversee employee leave in the HRMIS (Ramco) system to ensure the employee applies for leave correctly.
- Overall understanding of relevant functionalities in both systems (ZK BioTime and Ramco).
- Monitor staff absent records in the attendance system (ZK BioTime), comparing them with leave records in the HRMIS (Ramco) system.
- Able to identify the issue occurrence in the system and be able to fix or solve it within scope.
- Ensure all approved leave types that proceed exceptionally through hard copy, such as long sick leave or long unpaid leave, are always communicated directly to the applicant or line manager.
- Ensure all relevant documents to employee leaves and attendance are safely kept or filed into staff personnel files.
- Ensure all processes and services are effective and meet the target of service turnaround time.
- Work with management/relevant panels of the staff on the case of absence without request/approval.
- Work with the payroll department to arrange salary deduction and salary reimbursement in connection with the leaves and absenteeism.
- To check employee leaves for all kinds of allowances.
- Ensure all processes are accurate and in compliance with the bank policies.
- To provide a quick response/solution to stakeholders if any matter arises on work-related issues.
Monthly Report
- Monthly report preparation to be completed within the deadline.
- Be able to produce summary reports as required.
Any other tasks will be assigned from time to time by the direct line manager.
QUALIFICATION
- Fresh graduate or undergraduate students are welcomed.
- Good communication and teamwork.
- Good computer literacy (Ms. Office), Internet, and email.
- Good at English speaking and writing.
- Attention to details.
- Be punctual and self-disciplined.
